This Privacy Policy explains how NeedReno Inc. ("NeedReno", "we", "us", or "our") collects, uses, shares, and protects personal information when you use our websites at needreno.ca and needreno.com and our related services (together, the "Platform"). We are committed to handling your information responsibly and in line with applicable privacy laws, including Canada's Personal Information Protection and Electronic Documents Act (PIPEDA), Quebec's Law 25, and applicable United States privacy laws for our United States users. By using the Platform, you agree to the practices described here.
1. Who This Policy Applies To
This Policy applies to Homeowners who use NeedReno to find renovation and home improvement services, Contractors who list on or use the Platform, and visitors to our websites. It covers information collected through the Platform. It does not cover the separate privacy practices of Contractors, Homeowners, or third party services, whose handling of your information is governed by their own policies.
2. Information We Collect
Information you give us
- Account details, such as your name, email address, phone number, password, and role (Homeowner or Contractor).
- Project details you submit, such as the type of renovation, its location or property address, timeline, budget range, descriptions, and photos.
- Contractor profile details, such as business name, description, service areas, trades, licence and insurance information, certifications, portfolio, and media.
- Messages and content you exchange with other users, along with reviews, ratings, questions, and answers you post.
- Contractor business tool data, such as quotes, invoices, expenses, clients, parts, suppliers, and job records that a Contractor chooses to create.
- Support and communications you send us, including survey responses and referral information.
Payment information
Homeowners are not charged and do not provide payment information to us. When a Contractor pays lead fees or a subscription, payment card details are collected and processed by our third party payment processor. We do not store full card numbers on our systems; we receive limited billing information such as a card brand, the last digits, and transaction records.
Information we collect automatically
- Device and usage data, such as IP address, browser and device type, pages viewed, links clicked, referring pages, and timestamps.
- Approximate location, which we may infer from your IP address or network information to show relevant regional content and to set a default region. We may receive approximate location signals, such as country, region, or city, from our network provider's location headers.
- Cookies and similar technologies, as described below.
Information from third parties
For some Contractor listings, we collect business information from publicly available sources to create an unclaimed listing that the business can later claim. We may also receive information from service providers that help us with mapping, analytics, communications, or, for Contractors who connect it, accounting integrations.
3. How We Use Information
We use personal information to:
- operate the Platform and provide our core service, which is connecting Homeowners with Contractors;
- match a Homeowner's project with relevant Contractors and deliver the request to those Contractors;
- enable messaging, quotes, reviews, and record keeping between users;
- provide Contractor listings and business tools, and process Contractor lead fees and subscriptions;
- personalize content, including showing region appropriate information and, where relevant, French or Spanish translations;
- send service and transactional messages, and, where permitted, updates and marketing you can opt out of;
- maintain safety and security, prevent fraud and abuse, and enforce our Terms; and
- comply with legal obligations and analyze and improve the Platform.
Our legal bases for processing, where required, include performing our contract with you, our legitimate interests in operating and improving the Platform, your consent where we ask for it, and compliance with legal obligations.
4. How We Share Information
We do not sell your personal information. We share information only as needed to run the Platform:
- With Contractors. When you submit a project or contact a Contractor, we share the relevant project and contact details with the matched Contractor or the Contractor you contact, so they can respond to you. This sharing is the core purpose of the service. Contractors are independent third parties and their later use of your information is governed by their own practices and applicable law.
- With Homeowners. A Contractor's public listing, reviews, and the messages a Contractor sends are visible to the Homeowners they interact with or, for public content, to visitors.
- With service providers who process information on our behalf under contract, such as hosting, payment processing for Contractor fees, email and messaging delivery, mapping, and analytics. These providers may only use the information to provide services to us.
- For legal and safety reasons, when we believe disclosure is required by law, legal process, or to protect the rights, safety, or property of NeedReno, our users, or the public.
- In a business transfer, such as a merger, acquisition, financing, or sale of assets, in which case information may be transferred as part of that transaction subject to this Policy.
5. Public Information
Some information is public by design. Contractor listings, business details, portfolios, and published reviews and ratings are visible to anyone. Please consider this before posting content. Reviews are associated with the reviewer as shown at the time of posting.
6. Cookies and Similar Technologies
We use cookies and similar technologies to keep you signed in, remember your preferences such as language and region, keep the Platform secure, and understand how the Platform is used so we can improve it. You can control cookies through your browser settings, though some features may not work properly without them.
7. Your Choices and Privacy Rights
Depending on your location, you may have the right to access, correct, update, delete, or receive a copy of your personal information, to withdraw consent, and to object to or restrict certain processing. NeedReno provides self serve tools for this:
- Export your data. Signed in users can download a copy of their data as a machine readable file from their Account Privacy settings.
- Delete your account. You can request deletion of your account from your Account Privacy settings. Some information may be retained where required for legal, accounting, security, or fraud prevention purposes.
- Marketing. You can opt out of marketing messages using the unsubscribe link or your notification settings. We may still send you necessary service messages.
You can also contact us at [email protected] to exercise your rights. We will respond as required by applicable law. If you are in Canada and are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada or your provincial regulator.
8. Data Retention
We keep personal information for as long as needed to provide the Platform, to maintain your account, to comply with our legal, tax, and accounting obligations, to resolve disputes, and to enforce our agreements. When information is no longer needed, we take steps to delete or anonymize it. Public content such as reviews may remain visible unless removed in accordance with this Policy or our Terms.
9. Security
We use administrative, technical, and physical safeguards designed to protect personal information, including access controls and encryption in transit. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. Please protect your account credentials and notify us of any suspected unauthorized use.
10. Children's Privacy
The Platform is intended for adults and is not directed to children. We do not knowingly collect personal information from anyone under 18. If you believe a child has provided us information, please contact us so we can remove it.
11. International and Cross Border Transfers
NeedReno serves users in Canada and the United States. Your information may be processed and stored in Canada, the United States, or in other countries where we or our service providers operate. These countries may have privacy laws that differ from those in your location. Where required, we use appropriate safeguards for cross border transfers. By using the Platform, you understand your information may be transferred and processed in these locations.
12. Regional Disclosures
Canada. We handle personal information in accordance with PIPEDA and applicable provincial laws, including Quebec's Law 25. You may contact our privacy contact below with questions or requests, including a request to know what information we hold and how it is used.
United States. Depending on your state, you may have rights to know, access, correct, delete, and opt out of the sale or sharing of personal information. As noted above, we do not sell personal information. You may exercise applicable rights by contacting us, and we will not discriminate against you for doing so.
13. Third Party Links
The Platform may link to third party websites and services that we do not control. This Policy does not apply to those third parties, and we encourage you to review their privacy policies.
14. Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will change the "last updated" date shown above and, where appropriate, provide additional notice. Your continued use of the Platform after changes take effect means you accept the updated Policy.
